How we handle information when you visit OrderlyHR or send us an inquiry.

## Scope and contact

This notice covers the OrderlyHR marketing website and its inquiry form. OrderlyHR is owned by Vaultnoir Ltd, registered in Canada. Vaultnoir Ltd is responsible for the website inquiry information described in this notice. References to “we” and “our” mean Vaultnoir Ltd. For privacy questions or requests, contact uchuta@vaultnoir.com. This notice does not govern employee records processed in the HR application or learning records in Classroom; those services require their own applicable notices and agreements.

## Information you provide

Our inquiry form collects your name, work email address, inquiry type, and message. Company name and employee count are optional. We also receive information you send in follow-up correspondence. Please do not send employee records, payroll files, passwords, or sensitive personal information through this form.

## Technical information

Our hosting and form providers may process your IP address, browser and request information, timestamps, and security logs to deliver the website, process submissions, and prevent abuse. The website does not include advertising pixels or visitor analytics scripts.

## How information is used

We use inquiry information to respond to your questions, discuss the services you ask about, and maintain the related correspondence. Technical information supports website delivery, troubleshooting, and spam prevention. Submitting an inquiry does not subscribe you to a marketing mailing list.

## Service providers and sharing

Netlify hosts the website and processes and stores form submissions, including spam screening. Email notifications are delivered to the business mailbox used to handle OrderlyHR inquiries, and our email provider processes that correspondence. Information may also be disclosed when required by law or necessary to protect against fraud or misuse. Provider processing may take place outside your country. ## Retention

Form submissions are stored in Netlify and inquiry notifications are stored in our business email account. They are not automatically erased when a conversation ends. Retention depends on the inquiry, ongoing business correspondence, and applicable recordkeeping requirements. You can ask us to delete your inquiry information using the contact address above; legal requirements or an active dispute may limit deletion.

## Your choices and requests

You can ask for access to the information you provided, correct it, or request deletion. Other rights may apply depending on your location. Email us with the subject “OrderlyHR privacy request” and describe your request. We may need to verify your identity before disclosing or changing information. You may also raise concerns with the applicable privacy authority.

## Keeping information secure

No online transmission or storage method is completely secure. Use the website only for general business inquiries and contact us to agree an appropriate channel before sharing sensitive implementation information.
